Warner Bros. Studio Tour Tokyo – The Making of Harry Potter

The newest addition to the Tours & Retail division is Warner Bros. Studio Tour Tokyo – The Making of Harry Potter (WBSTT), an indoor attraction that invites visitors to step into the fascinating behind-the-scenes world of Harry Potter and the Wizarding World. Covering over 960,000 sq feet, the Studio Tour Tokyo opened on June 16th, 2023, and offers special features to enable visitors to deepen their understanding of how the Harry Potter and Fantastic Beasts films were made. With iconic film sets to explore, costumes and props to discover and magical experiences to delight, the indoor attraction invites visitors to enjoy scenes from the films first-hand and discover how the world's favorite book series was brought to life on screen.

Unlike a theme park, the Studio Tour allows visitors to step into film sets and enjoy an exciting entertainment experience. This is the second tour of its kind in the world and is building on the hugely successful Warner Bros. Studio Tour London (WBSTL).

PRIMARY PURPOSE OF JOB

  • Work closely with directors and departments to coordinate the support to the GM, always representing Warner Bros. Discovery, both internally and towards external stakeholders.
  • Work closely with Senior Manager, PR & Communications to cultivate and manage relationships with local communities
  • Work closely with Director, Facilities and Health & Safety to liaise with local authorities including the police and fire department to obtain necessary support to the Tour
  • Oversee back-of-house and office operations and general affairs.
  • Staff management of Coordinator and Receptionist, including Reception, training, writing and updating policies and procedures etc.

KEY RESPONSIBILITIES

  • Support GM communication with local community and external business stakeholders.
  • Arrange meetings with WBD executives and key stakeholders and politicians as necessary
  • Maintain dialogue/relationship with neighborhood associations, officials of Nerima Ward and Tokyo Metropolitan Government (TMG)
  • Support Senior Manager, PR & Communications to execute CSR strategy through community events
  • Back-of-house and office management
    • BOH facilities management, including maintenance, construction, furniture, etc.
    • BOH operations/general affairs management, including supplies, mail, breakout room/pantry 2F, break areas 1F/2F, employee meal options, employee bicycle parking, employee uniforms, lost-and-found, etc.
  • Support GM to create a focused and productive working environment; propose new ideas for improvement.
  • Ensure the Studio Tour runs administrative processes and procedures in line with Warner Bros. Discovery policy.
  • Work with the H&S department to ensure a team is in place to meet Risk Assessments, DSE requirements, Fire Code, etc.
  • Attending and representing WBSTT at external and internal meetings related to community issues.
  • Leveraging internal and external company contacts, knowledge, and initiative to meet priorities.
  • Build relationships with WBD internal PA and administration network.
  • Additional tasks as requested by VP and Tour Directors.

SKILLS/KNOWLEDGE REQUIRED

  • High level of Japanese and English.
  • High level Excel / PPT.
  • Proven experience in office management, including one or more of operations, facilities, and general affairs.
  • Experience organizing large scale events.
  • Experience of managing a team and working within a team.
  • Ability to construct reports and reply to correspondence with good accurate English.
  • Confident in dealing with both internal and external stakeholders. Ability to work with staff across all areas and levels of the organisation.
  • Project Management skills/experience would be good but not a must.

EDUCATION/QUALIFICATIONS

  • Tertiary education (2- or 4-year college degree)
