Role Overview

We are looking for a highly organized and proactive Project Manager to oversee two major brand initiatives: A Music Festival sponsorship and a Brand National Launch.

As a Project Manager, you will be responsible for coordinating cross-functional teams, managing timelines, ensuring asset approvals, and keeping all stakeholders aligned. You will serve as a key liaison between the agency and FMCG Client, ensuring smooth execution of both projects. This role requires strong communication skills, stakeholder management, and the ability to navigate complex workflows in a fast-paced environment.

Key Responsibilities

1. Music Festival Sponsorship (July)

  • Oversee project planning and execution, ensuring timely delivery of all event-related materials and activations.
  • Coordinate with internal teams and external vendors to align on logistics, branding, and sponsorship deliverables.
  • Manage approvals and compliance processes with FMCG Client.
  • Track project progress and proactively identify potential risks or delays.

2. Brand National Launch (September)

Stakeholder Coordination:

  • Act as the primary point of contact for both FMCG Client and agency teams.
  • Manage weekly status meetings with FMCG Client and Marketing company.
  • Collaborate with key PM counterparts at Marketing company and FMCG Client.

Project Management & Execution:

  • Ensure all work streams are up to date in Workfront, including tracking dependencies from global teams.
  • Ensure all assets are uploaded in the designated folder and coordinate approvals as per the agreed process.
  • Work closely with Points of Contact (PICs) in both agency and client to ensure timelines are continuously updated.
  • Set up internal review meetings before presenting to Client to ensure work aligns with the brief and incorporates prior feedback.
  • Schedule and coordinate meetings with Client for proposal reviews and approvals.
  • Capture and send meeting minutes after each session, summarizing key discussions, decisions, and next steps.
  • Debrief the agency team on Client’s feedback, ensuring alignment and clarity for next steps.

Success Metrics & Goals for the Role

  1. Timely Delivery: Ensure all teams adhere to designated deadlines and project milestones.
  2. Asset & Approval Management: Maintain clear and efficient processes for asset uploads and stakeholder approvals.
  3. Stakeholder Management: Effectively navigate complex stakeholder relationships, learning how the agency operates and adapting to the required timelines.
  4. Japan Market Knowledge: Gain a deep understanding of the Japanese market, its consumer dynamics, and its advertising landscape.
  5. Process Optimization: Ensure smooth internal and external workflows by coordinating reviews, meetings, and clear documentation.

Requirements

  • 7+ years of project management experience in advertising, marketing, or event planning.
  • Strong understanding of integrated marketing campaigns, media planning, and event sponsorships.
  • Exceptional organizational and time management skills, with the ability to handle multiple priorities.
  • Strong interpersonal and communication skills, capable of managing diverse stakeholders.
  • Proficiency in Adobe Workfront (or other project management tools such as Asana, Jira, or Trello).
  • Fluent in business English, with ideally N3-level Japanese proficiency for internal coordination.
  • Experience working in a fast-paced agency environment is a plus.
